This notice explains how we use your information when you visit our website, ask for a quote or book work on your vehicle.
Who is responsible for your information?
Sheffield Remap Ltd, trading as Sheffield Remapping, is the data controller for our customer enquiries, bookings and business records.

You can use these details for any privacy question or request.
What we collect
When you contact us, we may receive your name, phone number, email address, vehicle registration or VIN, vehicle details, postcode and appointment address. We also keep relevant messages, quotes, booking details, work records, invoices and any photographs or diagnostic information you provide.
Our hosting provider receives technical information when you visit, such as your IP address, browser details, requested pages, request times and errors. This helps deliver and protect the website.
We get customer information from you and from the work we carry out. Vehicle details and estimated tuning figures may also come from the RemapDash lookup described below. Please only send information needed for your enquiry.
Why we use it
- Quotes, bookings and work: to take steps at your request before a contract and to carry out our agreement with you. We need sufficient contact and vehicle details to provide a quote or arrange the work.
- Questions, aftercare and complaints: our legitimate interests in answering enquiries, supporting customers and resolving problems.
- Website operation and security: our legitimate interests in maintaining a reliable website, diagnosing faults and preventing misuse.
- Accounting and tax records: to meet our legal obligations.
Where we rely on legitimate interests, we consider the impact on your privacy. You can object to this use of your information. We do not use the vehicle lookup to make automated decisions with legal or similarly significant effects on you.
The vehicle lookup
Our vehicle lookup is supplied by RemapDash in an embedded widget. On pages containing it, your browser connects to RemapDash when the page loads, sharing technical details such as your IP address and browser information. A registration or VIN you enter is sent to RemapDash to identify the vehicle and return engine details and estimated tuning gains.
Using the lookup does not itself send us a booking enquiry. You can call or email us for a quote without using it.
We are obtaining further information from RemapDash about its retention, international processing and use of cookies or browser storage. We will update this notice when those details are confirmed.
WhatsApp and Facebook
Our enquiry form prepares a WhatsApp message in your browser. Reviewing the message does not submit it to us. Choosing “Open WhatsApp” passes the prepared text to WhatsApp through a link; you then choose whether to send it to us.
If you contact us through WhatsApp or Facebook, we receive the information you share and the profile or contact details the platform makes available. These services also process information under their own policies. See the WhatsApp UK privacy policy and Facebook privacy policy. You can use phone or email instead.
Who receives information
We share information where needed to handle your enquiry, provide our service or run the website:
- Vercel: hosts the website and processes request and diagnostic information to deliver and secure it. See Vercel’s privacy notice.
- Yorkshire Digital: maintains the website and may access relevant technical diagnostics when providing support.
- RemapDash: supplies the vehicle lookup as explained above.
- Communication providers: deliver email, phone calls and, when you choose them, WhatsApp or Facebook messages.
- Professional advisers and authorities: relevant records where needed for accounting, legal advice, claims or a legal requirement.
We do not sell your personal information.
Processing outside the UK
Vercel and messaging services operate internationally, so information may be processed outside the UK, including in the United States. Vercel’s data processing terms describe its transfer safeguards, including contractual protections for UK data. WhatsApp’s UK privacy policy explains its international transfers and the safeguards it relies on.
Contact us if you would like further information about safeguards relevant to your information. RemapDash’s processing arrangements are being confirmed separately.
How long we keep information
- Enquiries and quotes without a booking
- Up to six months after the last substantive contact about that enquiry.
- Essential completed-job records
- Normally up to six years after completion, limited to information needed to document the agreed work, authorisation and relevant aftercare or claims.
- Invoices and required accounting records
- Six years from the end of the last company financial year they relate to, or longer where tax law requires it.
- Routine booking messages and duplicate or non-essential photographs
- Up to six months after the appointment or enquiry closes, after extracting any necessary job or accounting evidence.
- Routine website diagnostic records we retain under our control
- Up to 30 days from creation. Providers’ own security and operational records may have different retention periods.
We may keep relevant records longer for an active complaint, dispute, investigation or legal requirement. We review these holds and delete or anonymise information when it is no longer needed. These periods cover our records, not copies independently held by messaging platforms, RemapDash or other recipients.
Your rights
Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, object to processing or receive a portable copy. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing.
Email info@sheffieldremapping.co.uk to make a request. We may need to confirm your identity. We normally respond within one month; if a permitted extension is needed, we will explain why.
You can also complain to the Information Commissioner’s Office (ICO). You do not need to contact us first, although we welcome the opportunity to resolve a concern.
